Private Math Tutor Problems

The Challenge

A private math tutor specializing in high school students faced significant challenges with his administrative process. Scheduling sessions involved back-and-forth texting with students to finalize dates, followed by manual entry into Google Calendar. Post-session, invoicing was also handled manually, leading to instances of forgetfulness and potential loss of revenue. This cumbersome process was not only time-consuming but also prone to errors, impacting the tutor’s efficiency and effectiveness.

The Solution

To streamline his operations, I implemented an integrated automation system. The process began with embedding Calendly into his website, synced with his Google Calendar, allowing students to self-schedule their sessions. To address invoicing, I utilized Zapier to trigger a sequence of actions: upon a Calendly booking, it checks for new customers in QuickBooks Online, creating a new entry if needed. At the end of each tutoring session, as marked in Google Calendar, Zapier automatically generates an invoice for the session. To provide flexibility, the system delays sending the invoice for five hours, simultaneously notifying the tutor via email with an editing link, ensuring he has the opportunity to review and adjust the invoice if necessary.

The Impact

This automated solution transformed the tutor’s business operations. The new system eradicated the need for manual scheduling and invoicing, significantly reducing administrative workload and minimizing the risk of unpaid sessions. It has not only streamlined his administrative tasks but also freed up more time for teaching, enabling him to see more students. The tutor now enjoys a more organized, efficient workflow, with peace of mind knowing that the crucial aspects of scheduling and billing are handled accurately and promptly.
