A business coach, juggling multiple clients, faced a daunting task. Each coaching session scheduled through OnceHub needed to be meticulously documented across three platforms: Google Calendar, Google Sheets for the organization’s tracking, and Trello for personal client management. This repetitive, manual process of copying and pasting the same information across these tools was not only time-consuming but also prone to errors.
Recognizing the inefficiency, I stepped in to transform his workflow using Zapier. I created an automated system that seamlessly synchronized data across Google Calendar, Google Sheets, and Trello. Every scheduled call and pertinent detail was automatically updated across these platforms, allowing the coach to focus solely on his coaching sessions and essential note-taking.
However, a new challenge emerged when the organization required him to submit detailed information through a Google Form after each session. This task demanded entering at least ten points of data, turning a simple follow-up into a tedious chore.
In response, I engineered a solution that pre-filled this Google Form with all the necessary meeting data. I generated a custom link for each form that, when accessed, automatically populated the fields with the meeting’s details. Now, instead of laboriously entering data, the coach simply needed to review and hit ‘submit,’ significantly reducing his administrative workload.
This solution revolutionized the coach’s workflow efficiency. No longer bogged down by administrative tasks, he could devote more time and energy to what he does best – coaching. It’s a perfect example of how smart automation can transform a potentially overwhelming process into a streamlined, almost effortless task.
